We've been listening to your feedback and have completely redesigned the way you work with Docs in SuperOkay.

Here's what's changed:



A predefined list of document categories you could not edit.

Full control over how you organize your client content in folders, sub-folders and so on.



It was sometimes hard to tell what was shared with the client and what was not.

One single Shared folder so you always know whatโ€™s visible to the client and whatโ€™s not.

Only the contents of the Shared folder is visible to the client on their portal.

P.S.: only the contents of the Shared folder is themed in the portal's main color.



Sharing a document to the client portal meant also generating a public link.

The public link is now optional. It's useful if you need to share something outside your client portal or team.

Just share your content to the Shared folder and clients will see it in their portal.



One hardcoded Knowledge Base folder featured on the dashboard and in the portal navigation.

Pin any folder from your Shared folder to the portal dashboard and navigation.

๐Ÿ™ The only way to share files with your client was to attach them to a Document.

Upload files anywhere.

Plus: add Linked Files to have cloud docs next to your SuperOkay Docs & Files.



The only way to collaborate on a files was to upload it to a Doc and ask the client to use the Comments section to message you, or add action items to the Document itself.

You and your clients can create folders and files, add action items and comments on any folder, doc, or file.

What are the changes your clients will notice?

A new look for Docs & Files main section screen:



The hardcoded document folders were the only way to organize content for clients

Folders are front-and-center.

  • Folder cards are themed in the color of your portal

  • Client Contacts can create folders & upload files

  • We removed the confusing Draft / Approved sections and we now highlight Approved documents in the list

  • 3 Viewing options: Grid, Small Grid, and List

  • Sorting controls.

Unified sidebar



  • Table of contents on the left

  • Action Items on the right

  • Comments floating on top of the document

It was a big confusing + the mobile experience was a bit lacking.

One sidebar.

The Table of Contents and the Comments module moved to the right-hand sidebar.

There is now a breadcrumb navigation at the top of each document to easily allow clients to go back (not applicable to documents viewed via Public Link)

Plus: it now looks great on mobile.

How has your Docs section changed:

Your Docs section looks quite differently now :) It's now called Docs & Files.

๐Ÿ‘‰ All Docs you had in projects have been organized like this:

  • What was previously shared with the client is now in your Shared folder, grouped by the original document category

  • What was not shared with the client is in your Docs & Files root folder, outside the Shared folder.

  • This means you can have a Proposals folder both in Shared and outside it in the Docs & Files root folder

๐Ÿ‘‰ If you had shared Knowledge Base docs and had Knowledge Base turned on in Module Settings, we've created a Knowledge Base folder inside your Shared folder and pinned it to your dashboard.

๐Ÿ‘‰ All documents that were shared before have the optional Public Link Sharing turned on. You can safely turn it off and the clients will still be able to access the files via your client portal, after they log in.

๐Ÿ‘‰ The Document Analytics counter moved to the right-hand sidebar. Click it to see who viewed your doc on the public sharing link (we don't yet track views via the logged-in client portal interface)

How do you share something with the client?

Clicking the "Share" button now gives you three options:

1๏ธโƒฃ Share to the client portal by moving the Folder, Doc, or File you want to share somewhere inside the Shared Folder.

2๏ธโƒฃ Enable/Disable the Public Link.

3๏ธโƒฃ Download as PDF (only for SuperOkay documents)

What else is new?


Theyโ€™re not just you average folders. We have a lot of features that will help your document workflows:

  • Drag & Drop to arrange folders and files in the order you want

  • You and your clients can add comments and action items on any folder

  • You can share a direct link to any folder from your client portal

  • You can change the icon & color of any folder.

  • Clients can create their own folders and upload files to them.

  • ๐ŸšจClients can rename or delete files and folders. They do have to confirm though.

  • Clients canโ€™t yet create SuperOkay documents (many reasons here, mostly because we donโ€™t believe the document editor is simple enough for clients to simply know how to use)
